Part time Administrator Position Open at Emmaus

Emmaus Campus Ministry is looking for a part-time administrator for 15-20 hrs/week. This position will be responsible for the business aspects of ECM which includes social media, newsletter and  promo design, communications, database management, event planning, bookkeeping, possible grant writing, and other duties. This person will need to work on-site with the campus pastor, some students and with the board.

Emmaus Campus Ministry

Position Description:  Non-Profit Administrator

Summary:  The Administrator oversees communications, fundraising, bookkeeping, marketing, and general administrative tasks of Emmaus Campus Ministry.  This position supports the Campus Minister and the Board of Directors.  This position will average 18 hours per week during the UM Fall and Spring semesters and about 80 hours over the course of the summer. 

ESSENTIAL DUTIES AND REPONSIBILITIES

Outreach and Communications

  1. Articulate the mission and vision of ECM to students, partner church groups, donors, and the greater Missoula community.
  2. Maintain timely electronic and written communication with partner churches, synod, supporters and donors.
  3. Create and generate quarterly newsletters for Emmaus Campus Ministry (ECM) supporters and students. Develop on-line version of weekly, monthly and quarterly e-news.
  4. Produce and disseminate announcements of ECM events (i.e. email campaigns, posters, brochures, and bulletin inserts).
  5. Manage website content and Facebook page and review and update online materials and information as needed (at least bimonthly).
  6. Help campus pastor and staff reach out to new students through multiple and varied communications.
  7. Be a minister of hospitality by welcoming and helping students and visitors at Emmaus House and the Ark during work hours.

Fundraising and Development

  1. Maintain donation database of contact information for donors, supporters, alumni, congregations, clergy, faculty and students, distribute thank-yous and tax receipts, and create donation summary reports.
  2. Coordinate and promote fundraisers and outreach events in conjunction with the Board of Directors, including the solicitation of auction items. (one larger event per year)
  3. Assist the campus pastor in the preparation of grant applications and reports. (grant writing skills preferred).

Finance

  1. Basic bookkeeping:  Manage checking accounts, bill paying, send out rent invoices and process rent checks, depositing to bank, financial reporting, and preparing information for our primary Bookkeeper / Payroll Administrator.
  2. Payroll support (maintaining paperwork through hiring, management, processing). Our Bookkeeper / Payroll Administrator processes payroll and does reporting.
  3. Assist Director, Treasurer, and Bookkeeper / Payroll Administrator in developing and managing annual budget.

General Administrative Support

  1. Other duties as assigned.

  3. Flexible.   Responds well to instruction and supervision from campus minister.  Must be able to handle constructive criticism and revisions to work.
  4. Displays excellent interpersonal, oral and written communication skills.
  5. Able to handle group or personal conflict appropriately as situations arise. 
  6. Desire to learn and grow, gaining hands-on experience in numerous areas.
  7. Trustworthy (handling money) & professional.
  8. Excellent communication, design, & critical thinking skills.
  9. Detail-oriented, organized, time management skills.
  10. Strong computer skills including desktop publishing, database management, basic bookkeeping and website maintenance. 
  11. Software:  Microsoft Suite, esp Excel, Word, & Access (Access preferred but not required), QuickBooks & QB PR Module or equivalent, Adobe InDesign, Illustrator (Illustrator preferred but not required)        
  12. Technical knowledge of basic office equipment (computer, printer, wifi document formatting, mail merge), online outreach platforms (Facebook, Webs, MailChimp, SquareUp, PayPal, etc).   
  13. A good sense of humor!
